Capacity is how many calls a service can take over a day or a month. Everyone has enough of that. Concurrency is how many calls it can hold open in the same sixty seconds, and that is the number that decides what your third caller hears at twenty to nine on a Monday morning.

Weather does it to the trades. A cold snap does not produce a steady trickle of no-heat calls; it produces forty of them between six and nine in the morning, from people who are cold right now and calling three companies each.   2. Call your business number from the first phone and stay on the line. Do not hang up. Start a real enquiry, the kind a customer would make.
  3. Call from the second phone about fifteen seconds later. Listen to exactly what that caller gets: a greeting, a ring-out, a queue, or a busy tone. That sound is what your fourth-best customer heard last Monday.
  4. Call from the third phone while both are still open. Two simultaneous calls is a coincidence. Three is the test, and it is where most systems that survived the second one give up.
  5. Give each call something different to do. One books an appointment, one asks a price question, one asks for a person. You are testing whether they stay separate, not whether the line picks up.
  6. Then check what landed. Open the calendar, the inbox and the transcripts. Three conversations should have produced three distinct records, with nothing merged, nothing overwritten, and no booking made for a slot that was taken thirty seconds earlier.

If your calls arrive one at a time, this is not your problem. A consultant taking six calls a week, a shop with one line and a quiet phone, a business whose enquiries come by email and whose phone rings mainly with suppliers — none of them will ever hit a second simultaneous call, and buying for concurrency is buying a feature you will not use. The reason to hand your phone over might still be the after-hours coverage or the transcripts, but it is not this.

If your bottleneck is fulfilment rather than intake, answering more calls makes things worse rather than better. A two-van plumbing company already booked three weeks out does not need a system that captures every one of Monday's eleven callers; it needs to say no to eight of them politely and quickly. That is a different configuration and a smaller purchase, and a provider who sells you the first when you need the second has not helped you.

And if the calls in your spike genuinely require judgment — a triage decision, a quote that depends on seeing the thing, a complaint that has already escalated once — then answering all of them at once mostly means annoying everyone simultaneously.
